Job Description

Under supervision of the rights manager, handles administrative duties related to licensing of content for publication by the Getty or licensing of Getty content for publication by others. Includes clearing permission for reproduction of images--and occasionally texts--either acting alone on individual projects or assisting the rights coordinator with permissions work on a range of projects.

Major Job Responsibilities

  • Organizes, sends, and tracks incoming and outgoing book and image files to and from copublishing partners
  • Assists with preparation for at least two annual international book fairs, including managing appointment calendar and creating and assembling promotional materials for rights sales
  • Assists with rights and permissions work that may require specialized skills or knowledge related to digital imaging and copyright, including sourcing high-resolution images and obtaining permission for reproduction, maintaining image files and logs, and reviewing image files for content and quality
  • Creates and monitors purchase orders and invoices issued to vendors, pays invoices, tracks incoming royalty payments, acts as a liaison with the Procurement and Accounting departments, runs budget reports, and monitors spending against budget
  • Arranges travel, prepares travel authorizations and expense reports, reconciles procurement card statements, and serves as team resource on travel & expense policy
  • Schedules meetings, manages calendars, manages hard copy files, and makes copies as needed

 

Qualifications

  • High School or GED required, bachelor’s degree preferred
  • 1-3 years experience in office support position, with publishing or permissions experience a plus

Knowledge, Skills and Abilities

  • Microsoft Office expertise, with familiarity in Adobe CS 6 and Adobe Acrobat,
  • Good written and verbal communication skills, good organizational skills, ability to prioritize and adapt to shifting deadlines, flexibility, and ability to focus on details
  • Reading knowledge of one or more European languages and some knowledge of art history a plus
