Job Description

Under the direction of the Head Registrar and in conjunction with the Curatorial, Exhibitions, Conservation, Operations/Installations, Artists Initiative and other Museum departments, the Assistant Registrar is responsible for ensuring the safe handling and storage of art work; coordinating the various aspects of borrowing and lending objects under the Museum's domain; scheduling and overseeing delivery, preparation, installation and dispersal of art objects; and maintaining inventories and related billing and documentation to support either the Temporary & Loaned Exhibitions or Collection activities, respectively, of the Registration Department. This is a union position subject to the provisions of the collective bargaining agreement.



  • Assist with arrangements for acquisitions to the Collection: coordinate safe packing, shipping, handling of artworks and produce condition reports; coordinate matting and framing of artworks, prepare works for presentation to the Accessions Committee; arrange for return of works not accessioned, communicate with lenders, donors, packers, vendors, forwarding agents and shippers; coordinate permanent storage of accessioned objects.
  • Assist with maintenance of Collection objects, storage facilities and records: coordinate examinations and treatments with the Conservation Department; maintain the location tracking system and supervise routine cleaning and organization of storage facilities; assist in conducting periodic inventories, maintain the Collection records and files. Assist with maintaining Collection insurance records.
  • Assist with the loans out procedures, process returned loans and extended loans. Oversee safe packing and shipping of loans. Coordinate conservation of works requested for loan. Generate periodic reports concerning Collection loans, including extended loans.
  • Assist with Collection exhibitions: working with Curatorial Department to determine exhibitions: verify condition, location and availability of artworks; coordinate matting and framing needs; coordinate conservation treatments; facilitate the movement of objects to and from the galleries or venues.
  • Generate receipts, documentation and correspondence, and maintain departmental records.
  • Make periodic checks of the galleries and work with departmental and related staff to address potential risks to works on view.
  • Perform other related duties as required.




  • Oversee arrangements for assigned temporary exhibitions, both borrowed and organized by SFMOMA: coordinate safe packing/shipping/handling of artwork; coordinate matting and framing of works examine artwork and produce condition reports; coordinate repairs with Conservation Dept.; communicate with lenders, donors vendors, packers, forwarding agents and shippers.
  • Assist with coordinating the arrangements for major exhibitions, and those organized for travel by SFMOMA; occasionally travel to borrowing institutions to oversee unpacking, installation, condition reports, and/or repacking for museum-organized exhibitions.
  • Generate receipts, documentation and correspondence, and maintain departmental records; process invoices.
  • Assist to develop budgets for registration component of exhibitions.
  • Make periodic checks of the galleries and work with departmental and related staff to address potential risks to works on view.
  • Perform other related duties as required.




Education and Training Possession of a Baccalaureate Degree with course work in Art History, Museum Studies or closely related field.  

Work Experience Minimum of two years' experience in Registration methods in an art museum or similar institution.

Exhibitions Emphasis Demonstrated experience with temporary exhibitions in an art museum.

Permanent Collection Emphasis Familiarity with collections management databases preferred.

Skills and Abilities: Knowledge of museum registration methods. Skill in the sensitive handling of works of art and risk assessment, including crating, packing and transportation of objects.   Knowledge of twentieth century art history and interest in contemporary art is essential. Knowledge of museum purposes, organization and procedures. Proficiency with word processing software and databases; collections management database experience preferred. Ability to work effectively on a wide variety of projects concurrently, with concern for the tasks assigned and the goals of the Department. Ability to establish and maintain effective working relations with Museum colleagues, volunteers and interns and effectively represent the Museum to outside professionals, lenders, donors, and members of the artistic community, including artists and artists' studios. Excellent written and verbal communication skills. Familiarity with basic conservation concepts, procedures and terms. Ability and willingness to maintain a high level of accuracy & attention to detail. Ability to work independently and conduct effective problem resolution. Demonstrated organizational skill and knowledge of standard office procedures, including invoicing, receipting, and maintaining files. Ability to work simultaneously with several people who have different needs.




Physical Demands: Must be able to visually inspect artwork. Must be able to lift 20 lbs.

Special Environmental Factors: Close office setting. The position includes transit between the museum site and our facility in South San Francisco.
