Job Details



  • Coordinates the chief curator’s complex and busy schedule, anticipating needs for meetings and other scheduled activities, prioritizing requests, and pro-actively resolving conflicts. Ensures that all necessary information and materials are prepared in advance.
  • Coordinates the chief curator’s complex travel, both international and domestic, preparing detailed agendas, trouble-shooting when there are unexpected changes, anticipating needs, and providing proactive problem-solving.
  • Assists in coordinating chief’s and department’s relations with donors, artists, and Museum supporters.
  • Drafts formal correspondence to trustees, donors, artists, and other key Museum associates, and responds to general inquiries.
  • Answers the telephone line for the chief curator, as well as the main department line, and the department manager’s line as needed; screens requests and triages for appropriate next steps.
  • Maintains chief’s contacts and Departmental master Invite and VIP Lists.
  • Processes invoices and expenses for chief curator and other staff as needed.
  • Performs administrative duties as required, including photocopying, filing, preparing large mailings, etc.
  • Provides general administrative support for the collector’s group, the Contemporary Drawing and Print Associates.
  • Performs any other duties reasonably related to the functions described above.


  • Bachelor’s degree and three or more years prior experience in a related field and position.
  • Experience managing a complex calendar and coordinating complex travel arrangements.
  • Superior ability to compose and edit formal correspondence.
  • General knowledge of the art world (artists, galleries, museums, and related institutions).
  • Experience in a non-profit setting communicating with high-level donors, trustees, and preferably with artists, artist studios, etc.
  • Excellent interpersonal and communication skills
  • Superior discretion and judgment
  • Demonstrated initiative and proactive problem-solving skills.
  • Superior organizational skills
  • Ability to anticipate needs and prioritize tasks accordingly.
  • Ability to work with a team as well as work independently.
  • Administrative ability
  • Good typing and figural aptitude with knowledge of office procedures and equipment.
  • Knowledge of a foreign language is a plus, preferably French or German.
