Job Description

The part-time temporary Communications Assistant will work closely with the Senior Communications Manager and the Communications Associate and serve as an integral member of the Communications team supporting press efforts around special exhibitions, including Andy Warhol—From A to B and Back Again and the 2019 Whitney Biennial. Key duties include servicing media, assisting with film and photography shoots, helping to manage the press database, providing support at press previews and other press events, and tracking media coverage. The Communications Assistant also provides administrative support as assigned.

This is a part-time temporary position up to 20 hours per week from October 2018 through June 2019.


Media Relations

  • Assisting with the organization of press previews and other press events
  • Providing onsite support during press events, including press previews and openings
  • Servicing media requests for images and other assets
  • Assisting with the maintenance and updating of the Whitney Press Site
  • Indexing and organization of press-approved images, including insuring proper captions and credits are noted
  • Responding to press requests via telephone and email
  • Coordinating film and photography shoots at the museum, including liaising with internal departments as necessary
  • Updating press email lists and database in Raiser’s Edge
  • Creating and disseminating press kits and exhibition catalogues
  • Coordinating site visits for media
  • Arranging press tickets and press visits


  • Utilizing media clipping service to index press clippings weekly
  • Tracking media statistics and updating media reports weekly
  • Reviewing press account requests
  • Creating agendas for and note taking at meetings
  • Scheduling of leadership and team meetings
  • Ordering supplies and other materials for department
  • Processing invoices and other expenses


B.A. (art history or communications preferred); at least one to two years’ experience working in museum or arts communications; excellent oral and written communication skills; ability to work independently and handle challenging situations; MS Office essential and Raiser’s Edge familiarity a plus.
